Privacy Policy
Last updated: 11 March 2026
1. Introduction
This Privacy Policy explains how Sked Solve (“platform”, “service” or “we”) processes personal data of users who access the web and mobile application and related services (shift planning, requests, notifications and related features). Using the service implies that you read this document. Where employment or collaboration data is processed, your employer or the organisation using Sked Solve may also have independent responsibilities and will inform you as required.
2. Data controller and roles
The controller of personal data required to provide the Sked Solve platform and manage your account is the entity operating the service (“Controller”). Where processing is carried out on behalf of the organisation using the service (e.g. employee data entered by a manager), that organisation may act as an independent controller or as a processor depending on the circumstances. For questions about your work-related data, you may also contact your organisation’s privacy contact.
3. Categories of data
Depending on the features used, we may process, by way of example:
- Identification and contact data: name, email address, profile details.
- Authentication data: credentials or identifiers from third-party providers (e.g. Google sign-in), session tokens and security logs.
- Scheduling-related data: shifts, sites, roles, preferences, absences, requests and other information entered by authorised users in the organisation.
- Technical and usage data: IP address, device type, push notification identifiers, system logs and diagnostics needed for security and stability.
- Aggregated or anonymised analytics, where applicable and according to your settings.
4. Purposes and legal bases (GDPR)
We process data to: provide the service and manage your account (contract and pre-contractual measures); comply with legal obligations; protect the security of the service and prevent abuse (legitimate interests); where required, obtain consent for specific communications or optional features; improve the service in aggregated form where applicable. Providing data necessary to use the service is required for registration and access; failure to provide it may prevent us from delivering the service.
5. Processing methods
Data are processed electronically using procedures strictly related to the stated purposes, with appropriate technical and organisational measures (e.g. access controls, encryption in transit where applicable, backups). Access is limited to authorised personnel and, where necessary, to vendors acting as processors.
6. Retention
We retain data for as long as necessary for the purposes for which they were collected and in any case within legal limits. Account data may be kept for the duration of use and thereafter to comply with legal obligations or defend legal claims. Technical logs may be retained for shorter or longer periods according to security policies and applicable law.
7. Disclosure and transfers
Data may be shared with cloud hosting, transactional email, analytics and security providers, appointed as processors where required. If data are transferred outside the EEA, we use appropriate safeguards (e.g. Standard Contractual Clauses) where required by the GDPR.
8. Your rights
Under Articles 15–22 GDPR, you may exercise rights of access, rectification, erasure, restriction, portability, objection and withdrawal of consent where applicable. You may lodge a complaint with your supervisory authority (in Italy, the Garante). To exercise your rights, contact the Controller at the details below or, for data managed by your organisation, its internal contact.
9. Cookies and similar technologies
The web application may use technical cookies necessary for operation and session management. Additional cookies or analytics may be activated only in accordance with applicable law and notices provided at access. You can manage preferences in your browser settings.
10. Changes and contact
We may update this Privacy Policy to reflect legal or service changes. The updated version will be published on this page with a new date. For questions about processing via Sked Solve: privacy@skedsolve.com (replace with the Controller’s final email before store submission).
