Signing in and accounts
I forgot my password.
On the sign-in screen tap “Forgot password?” and enter your account email: you get a link that works for one hour. If you signed up with Google there is no password to reset, so use the Google button instead.
The verification code never arrives.
The code is six digits and lasts fifteen minutes. If you cannot find it, check your junk folder and make sure the address is spelled correctly, then use “Resend” on the same screen. The previous code stops working.
How do I change the language?
In your profile, under Personal information, at the Language setting. It applies to the interface, the notifications and the emails we send you.
I changed phone. How do I sign the old one out?
Your profile has a Devices section listing the phones, tablets and browsers you have signed in from. “Sign out” ends that device's session and switches off its notifications straight away, leaving the others alone.
Shifts and generation
Generation cannot find a solution. Where do I start?
Before the engine runs, Sked Solve checks the week and tells you which requirements cannot hold at the same time. Three causes come up again and again: you need more people than are available in that slot, a required job role has nobody who can cover it, or between absences and non working days there is too little room left. You can still generate anyway and see how close it gets.
I fixed a shift by hand. Will regenerating undo it?
Not if you lock it. You can lock a single assignment or a whole day: the next run leaves those in place and recalculates only the rest.
How do I handle more than one location?
Each location has its own opening hours and its own coverage. In the planner you work on one location at a time or see them all together, and the same person can be assigned to more than one.
Do holidays and closing days get taken into account?
Yes. Approved absences and the closures calendar (public holidays, company shutdowns, days you simply do not open) are read by the generator, which assigns nobody on those days.
Team, app and notifications
Which devices does it run on?
There is an Android app on Google Play and the web version, which runs in any browser, phones included. On iPhone you use the web version for now.
I published the schedule but the team got no notification.
Notifications go out when you publish, and only reach people who already have a live account. If someone does not, the publish screen flags it and offers to invite them to the app. If the account does exist, it is almost always the notification permissions on their phone.
Who can see what?
People on shift see their own schedule, their own requests and their own hour balance. People who run the rota see the whole company: the plan, approvals, clock-ins and statistics.
Someone has left. Should I delete them?
Remove them from your collaborators: that frees a seat in your plan immediately and clears their future shifts, while the ones they already worked stay in the history and in the totals. If they come back you can reactivate them without entering anything again.
Plans and billing
How do I move up a band as the team grows?
In your profile, under Plan & billing, with “Change plan”. Moving up takes effect immediately and you pay only the difference for the days left in the period you have already paid for. Make the change on the channel you subscribed through: in a browser if you pay by card, in the Android app if you went through Google Play.
Where do I find my invoices?
Same section, under the payment history: “Download invoice” appears wherever the invoice is available. If you pay by card, “Manage billing” opens the portal for your payment method, invoices and cancellation, while the billed-to name, tax ID and e-invoicing details are edited in the app, in the Billing details box. If you subscribed from the Android app, the subscription and its receipts live in Google Play.
What happens when the trial ends?
Your data stays exactly where it is and you can still see it. Without an active subscription the app becomes read only: no generation, no publishing, no approvals, until you pick a plan. Nothing is deleted because a trial expired.
Who counts towards the number of people in my plan?
Active collaborators, added up across every location. Anyone you have removed no longer counts. The bands and the amounts are on the pricing page.
Data, exports and privacy
Can I print or export the schedule?
Yes, as PDF or Excel, for one week or a whole month. In the monthly export recurring shifts become short codes with a key to the times at the foot of the sheet, which is usually the format payroll asks for.
Can shifts show up in a personal calendar?
Yes, for people on shift: their own shifts page has a “Sync your calendar” button that hands them a link to paste into Google Calendar, Outlook, Apple Calendar or Proton. From there shifts appear alongside the rest of the week and update themselves when the plan changes.
Who can reach my company's data?
Each company's data is kept separate from every other company's and is visible only to people with a role in that company. Legal bases, retention periods, the providers involved and your rights are set out in the Privacy Policy.
How do I delete my account and data?
There is a dedicated procedure: you write to us from your account address using the subject line given on that page, and we carry out the deletion.
